Senior Accounts Payable Specialist

This is not simply an invoice-entry position. We are looking for someone who can independently own the AP function, including accruals, reconciliation, issue resolution, and month-end close.

Position Summary

Trilogy Resources is seeking an experienced Senior Accounts Payable Specialist to take ownership of our full-cycle accounts payable function. The right person will independently manage AP from invoice receipt through payment and month-end close, maintain strong vendor relationships, identify and resolve issues before they become problems, and provide accurate and timely reporting to Finance. This position reports directly to the CFO and is ideal for someone who is organized, proactive, dependable, and comfortable working in a fast-paced, project-driven environment.

Key Responsibilities

  • Own the full accounts payable cycle from invoice receipt through payment.

  • Review, code, and enter vendor invoices accurately and timely.

  • Match invoices to purchase orders, projects, approvals, and supporting documentation.

  • Manage vendor accounts, statements, credits, discrepancies, and payment inquiries.

  • Maintain accurate vendor records, W-9s, payment information, and supporting documentation.

  • Prepare and process weekly payment runs, ACH payments, checks, and other approved payments.

  • Monitor AP aging, upcoming obligations, and cash requirements.

  • Proactively follow up on outstanding invoices, vendor documentation, credits, approvals, and discrepancies.

  • Reconcile vendor statements and resolve differences.

  • Maintain accurate project, cost, and general ledger coding.

  • Review AP transactions for proper accounting-period cutoff.

  • Identify expenses incurred but not yet invoiced and prepare month-end AP accruals.

  • Own and independently complete the AP portion of the monthly close.

  • Prepare and review AP Aging, Unpaid Bills, accrual schedules, and month-end exception reports.

  • Reconcile AP balances and research discrepancies.

  • Assist with company credit card reconciliation and expense documentation.

  • Maintain organized documentation and audit support.

  • Support year end reporting and 1099 preparation.

  • Assist with internal and external accounting and audit requests.

  • Identify opportunities to improve AP processes, controls, and automation within Intuit Enterprise Suite.

  • Communicate issues early and bring recommended solutions to Finance rather than allowing outstanding items to remain unresolved.

What Success Looks Like

The Senior Accounts Payable Specialist should independently maintain a clear understanding of:

  • What Trilogy currently owes and what is coming due.

  • What is past due and why.

  • What invoices, credits, approvals, or supporting documents are missing.

  • What vendor issues require attention or escalation.

  • What expenses have been incurred but not yet invoiced and may require accrual.

  • Whether AP is fully reconciled and ready for month-end close.

  • What specifically requires Finance approval or a management decision.

The expectation: Finance should be reviewing AP, not continually reminding AP what needs to be completed.

Required Qualifications

  • 3-5+ years of full-cycle accounts payable experience.

  • Demonstrated experience independently managing AP month-end close.

  • Experience preparing accruals and account reconciliations.

  • Strong understanding of accounting cutoff and AP controls.

  • Experience reconciling vendor statements and resolving discrepancies.

  • Experience processing ACH, check, and electronic vendor payments.

  • Strong attention to detail and ability to manage multiple deadlines.

  • Proven ability to independently track outstanding items through completion.

  • Strong written and verbal communication skills.

  • Intermediate or advanced Excel/Numbers skills.

  • Experience with QuickBooks, Intuit Enterprise Suite, ERP systems, or similar accounting software.

  • Ability to work independently with limited day-to-day supervision.

Preferred Qualifications

  • Experience with Intuit Enterprise Suite and/or QuickBooks.

  • Experience in construction, pipeline, industrial services, transportation, equipment rental, or another project-based industry.

  • Experience with purchase orders and project/job costing.

  • Experience in a high-volume AP environment.

  • Associate or bachelor's degree in Accounting, Finance, Business, or a related field; equivalent relevant experience will also be considered.

What We're Looking For

  • Strong ownership and follow-through.

  • Proactive communication.

  • Ability to prioritize competing deadlines.

  • Comfort researching discrepancies and driving issues to resolution.

  • Organized and process-driven work habits.

  • Reliability and strong deadline awareness.

  • Good judgment about when an issue should be escalated.

  • Ability to work a full-time schedule, with additional hours as business needs require.

  • Ability to work autonomously or as part of a team.

  • Comfort working in a growing company where processes and systems continue to improve.

Trilogy is continuing to strengthen and modernize our accounting processes as we grow, and this role will have the opportunity to help advance how Accounts Payable operates. We want someone who will look for better ways to work through Intuit Enterprise Suite, automation, stronger processes, and better use of financial data to improve efficiency, accuracy, and visibility across the accounting function.
